What Is Physical Reporting and Why Is It Mandatory?

Round 5 was the final seat allotment round of JoSAA 2026 — there was no Round 6. After Round 5 results were declared (July 16, 2026), every candidate who was allotted a seat had to visit their allotted institute in person to complete document verification and formally confirm their admission. This step is called Physical Reporting and it was mandatory — online document upload on josaa.nic.in during earlier rounds did not substitute for this in-person visit. Reporting has since concluded for the JoSAA 2026 cycle.

The distinction between online reporting and physical reporting is important. Online reporting (uploading documents to the JoSAA portal) happens during the response window after each round and is required to hold your allotted seat. Physical reporting at the institute happens only once — after Round 5 (final round) — and is what actually formalises your enrollment. Both are required; neither alone is sufficient.

Physical reporting begins only after Round 5 (July 16, 2026). Do not travel to your allotted institute before Round 5 results are declared. Reporting windows are typically 2–5 days — arriving one day after the window opens is fine; arriving after it closes is not.

The board-issued pass certificate. Separate from marksheet at most boards.

Class 12 Marksheet (Original + Photocopies)

Original marksheet. If not received from board, obtain provisional certificate with school seal.

Board-issued pass certificate. Separate from marksheet. Required at all institutes.

Valid Photo ID — Aadhaar Card (Preferred)

Aadhaar is universally accepted. Passport or driving licence also accepted at most institutes. Ensure it is not expired.

Category Certificate (OBC-NCL / EWS / SC / ST / PwD)

Must be issued by competent authority in the prescribed format. OBC-NCL must not be expired — check validity date carefully.

Seat Acceptance Fee Receipt (All Rounds Paid)

Proof that JoSAA seat acceptance fee was paid in the applicable round. Keep digital + printed copies.

8–10 Recent Passport-Size Photographs

White or light-coloured background, formal attire, not older than 6 months. Some institutes specify exact dimensions (3.5 × 4.5 cm).

PHOTOCOPIES3 Self-Attested Sets of Every Document Above

Self-attest each photocopy by writing "Certified True Copy", your full name, application number, date, and signature on every page. Prepare 3 complete sets. Institutes retain one or two sets and return one to you.

Medical Fitness Certificate

IITs typically require a medical fitness certificate. Format is prescribed on the institute's admission portal. Some IITs have their own medical examination at the time of reporting.

Demand Draft (DD) for Institute Fees

Some institutes still prefer DD payments for large fee amounts. Check the institute's specific instructions for bank name, DD amount, and payable-to details.

Gap Year Certificate (If Applicable)

Candidates who passed Class 12 more than 1 year before JEE may be asked for a gap year certificate or affidavit from a notary.

Income Certificate (For EWS/Fee Waiver Claims)

If claiming EWS fee concession beyond the reservation benefit, many institutes require an income certificate from a competent authority.

Domicile Certificate (State Quota Claims)

For NITs where home-state quota was used, some institutes verify domicile at reporting. Bring a domicile or residence certificate from your state.

What Happens at the Institute During Reporting — Step by Step

Document Verification

The admission office verifies all originals against your application records. Self-attested photocopies (3 complete sets) are collected and retained. Missing documents can delay or block your admission.

Medical Examination

IITs conduct a compulsory basic medical/fitness check — vision, hearing, and general fitness. NITs and IIITs have varying requirements; check with your specific institute beforehand. Some institutes schedule medical exams separately from document verification.

Fee Payment

Pay the remaining first-semester fee: tuition fee + hostel deposit + mess deposit + other institute charges. The mode of payment (online NEFT/IMPS, DD, UPI) varies by institute. Verify the accepted modes on the institute portal before travelling.

Hostel Room Allotment

First-year students are generally guaranteed hostel accommodation. Allotment is based on availability and may be done the same day or a separate day. Some institutes conduct hostel allotment online in advance.

Admission Confirmation

An admission confirmation slip is issued and your details are entered into the institute's system. Keep this slip safely — it is your official proof of enrollment and required for subsequent processes like bank account opening, library card, etc.

Plan for a full day: Document verification, medical exams, fee payment, and hostel allotment can each involve queuing. Arrive early on your assigned date. Bring snacks, water, and a charged phone. Reporting typically takes 4–8 hours in total at IITs; slightly less at some NITs and IIITs.

What Happens If You Miss the Reporting Deadline?

Admission is cancelled automatically if you miss the window without prior arrangement.

This cancellation is not reversible through JoSAA — the counselling process has ended by Round 5. Your only recourse is to appeal directly to the institute. This is at the institute's sole discretion and is not guaranteed.

The reporting window is not extendable by JoSAA centrally. Each institute sets its own dates and policies. If a genuine, documented emergency prevents you from reporting:

Contact the institute admission office immediately — by phone and email simultaneously
Explain the situation clearly and attach documentation (medical records, accident report, death certificate, flight cancellation proof — whatever applies)
Ask specifically whether the institute can grant a 1–2 day extension and what the procedure is
If no extension is granted, assess CSAB Special Rounds (SR1/SR2) as the next option (registration & vacancy display ran July 28 to Aug 3, 2026 on csab.nic.in; SR1 result declared Aug 6, SR2 result expected ~Aug 12)
State counselling as a further fallback if CSAB also does not yield a result

When exactly did JoSAA 2026 physical reporting start?
Physical reporting began in late July 2026, after Round 5 final allotment (July 16, 2026) and the NIT+ partial fee payment window (July 22–24, 2026), and has since concluded for the JoSAA 2026 cycle. Each institute announced its own specific dates and timings on their official website. If you missed your window, check with your allotted institute directly, and review CSAB 2026 (registration closed August 3, 2026; SR1 result declared August 6, SR2 result declared around August 12) as your next step.

Can someone else report on my behalf to the institute?
No. Physical reporting requires the candidate's personal presence. The institute verifies your identity through photo ID and may conduct a basic medical check. Proxy reporting is not permitted under any circumstances and would result in immediate disqualification.

What if my original Class 12 marksheet hasn't arrived from the board yet?
Contact your school or board examination office immediately and obtain a provisional certificate. Many institutes accept a duly certified provisional mark certificate with a written undertaking from the candidate that original certificates will be submitted within a specified period. Contact the institute's admission office in advance to confirm their specific policy before travelling.

Do I need to pay the full semester fee at the time of reporting?
Most institutes require payment of at least the first-semester fee (tuition + hostel deposit + mess deposit) during reporting. The exact amount varies significantly by institute. Check the specific institute's admission portal for fee structure and accepted payment modes (online transfer, demand draft, UPI) before you travel.

What happens if I miss the reporting deadline?
Missing the reporting deadline without prior communication to the institute results in automatic cancellation of your admission. This is not reversible through JoSAA. You would need to appeal directly to the institute with documented proof of a genuine emergency. Some institutes allow extensions in extraordinary cases — but this is at their discretion and not guaranteed. CSAB or state counselling remain as fallback options.
