The second stage is physical document verification, which takes place either at the reporting centre or the allotted institute itself, depending on whether your candidate category requires online-only reporting or in-person verification for that round. Both stages matter: an online upload that doesn't match what you physically present later can hold up your admission, so consistency across every document is essential.
Because document verification failures are one of the most common reasons candidates lose an otherwise-secured seat, it pays to start collecting documents well before results are declared rather than scrambling in the 48–72 hour window each round gives you. Category certificates in particular — SC, ST, OBC-NCL, and EWS — have specific validity windows and prescribed formats that trip up many candidates who assume any government-issued certificate will do. An OBC-NCL certificate that's more than a year old, for instance, is typically rejected outright, and a self-declared income certificate that doesn't follow the exact EWS format prescribed by the Department of Personnel and Training can also be rejected during verification, even if the applicant genuinely qualifies for the category.
The list below is organised into three groups — documents every candidate needs regardless of category, documents specific to reserved categories, and documents relevant only in special circumstances (defense quota, J&K candidates, foreign nationals, or cases where personal details differ across documents). Read through all three sections even if you believe none of the special cases apply to you, since details like a name spelling mismatch between your Aadhaar card and Class 12 marksheet — something many candidates only discover during physical reporting — fall under that third category and can otherwise catch you off guard.

Document Preparation Tips
- Scan all documents in advance at 200–300 DPI. File size limits apply on the JoSAA portal (usually 100–500 KB per document).
- Keep both original documents and self-attested photocopies (3 sets minimum) for the institute reporting.
- Category certificates must be in the prescribed format — check NTA / JoSAA brochure for the correct format.
- OBC-NCL candidates: ensure the certificate explicitly states 'Non-Creamy Layer' and is issued within the required period.
- Name spelling must exactly match across all documents (JEE form, Class 10, Class 12, Aadhaar). Any mismatch may require an affidavit.
- Keep a digital copy of every document on Google Drive or similar cloud storage for emergency access.
What Happens During Physical Reporting
When you report to your allotted institute (or a designated reporting centre, depending on the year's process), an admission committee reviews your original documents against the scanned copies you uploaded earlier and against the details in your JoSAA allotment letter. This is not a formality — mismatches, missing originals, or expired certificates can result in your admission being held provisionally or, in serious cases, cancelled, which is why it's worth treating document verification with the same seriousness as choice filling itself. Institutes typically set aside a specific reporting window per round, and missing it without a valid reason can mean losing the allotted seat, so plan travel and document collection well in advance rather than assuming everything can be sorted out on the spot.
If a document genuinely cannot be arranged in time — for example, a category certificate stuck in government processing — most institutes allow a provisional undertaking or affidavit stating the document will be submitted within a specified period, though this is handled case-by-case and should never be assumed as a fallback. It is always safer to apply for time-sensitive certificates (OBC-NCL, EWS income certificate) well ahead of the counselling season, since government issuing authorities can take weeks, and certificate offices tend to get backlogged during the JEE result-to-counselling period when demand spikes across the country.
