What to Do if Your JoSAA 2026 Document is Rejected

Step-by-step action plan — common rejection reasons, re-upload process, escalation path, and how to prevent seat cancellation

Why Document Rejection is Serious

If a document rejection is not resolved before the deadline, JoSAA's automated system can cancel your seat allotment. There is no automatic grace period and individual appeals are generally not entertained.

Every year, a significant number of students lose their allotted seats — not because of low ranks or wrong choices — but because of preventable document issues. The JoSAA verification process is largely automated, and the system flags any document that doesn't meet the specified format, validity, or content criteria.

The good news: most rejections are fixable if you act quickly. The re-upload facility is available on the portal, and if you catch the rejection early, you usually have enough time to correct and resubmit. The key is to monitor your dashboard actively every day during the document-processing period.

Common Rejection Reasons and Fixes

OBC-NCL Certificate

Reason: Wrong financial year (must be current FY: April 2025 – March 2026)

Fix: Get fresh certificate from SDM/Tehsildar office. Process takes 2–4 weeks.

EWS Certificate

Reason: Issued from wrong authority or wrong financial year

Fix: Obtain fresh EWS certificate from competent authority (SDM/BDO) for the current year.

Class 10 / 12 Marksheet

Reason: Blurry scan, file too large/small, wrong file format (must be JPG/PDF)

Fix: Re-scan at 150–200 DPI, save as PDF/JPG, ensure file is between 50 KB and 300 KB.

Name Mismatch

Reason: Name in document differs from JEE application (e.g., initials vs full name)

Fix: Upload an affidavit explaining the name variation, supported by any 2 government IDs.

Address Proof

Reason: Address proof from a different state than claimed home state

Fix: Upload a valid domicile certificate or address proof from the correct state.

PwD Certificate

Reason: Not issued by a government hospital or not in prescribed format

Fix: Obtain the certificate from a government medical board in the SADM format.

Photograph / Signature

Reason: Background not white, image too dark, or signature on unclipped paper

Fix: Re-take photo against white background, sign on white paper, ensure 20–50 KB JPEG.

5-Step Escalation Path

1

Re-read the Rejection Reason Carefully

JoSAA provides a specific reason for each rejection. Read it word-by-word. Most problems are solvable once you understand the exact issue.

2

Fix the Document and Re-upload Immediately

Correct the issue — rescan, reformat, or obtain the correct document. Re-upload within the portal's re-upload window. Do not wait until the last day.

3

Contact JoSAA Helpline if Portal Doesn't Accept

If the portal continues to reject after multiple correct attempts, call the JoSAA helpline (number published on josaa.nic.in). Keep your application number, rejection screenshot, and corrected document ready.

4

Email JoSAA Support with Screenshots

If phone support is unavailable, email josaa-helpdesk@iitk.ac.in (verify official address on josaa.nic.in). Include your application number, a screenshot of the error, and the corrected document attached.

5

Contact the Reporting Institute Directly

If you have already been allotted a seat, contact the institute's admission office. Many institutes have helpdesks for allotted students and can guide you or accept certain documents during physical reporting.

Prevention: Upload Documents Right the First Time

The easiest way to handle document rejection is to avoid it altogether. Follow these best practices before uploading:

  • Read the JoSAA document checklist on josaa.nic.in before scanning anything.
  • Scan documents at 150–200 DPI for clarity. Files should be 50–300 KB unless specified otherwise.
  • OBC-NCL and EWS certificates must be obtained fresh for the current financial year — not from a previous year.
  • Cross-check that your name in all documents matches your JEE application exactly.
  • Upload at least 48 hours before the deadline so you have time to fix any rejection.

Frequently Asked Questions

Common questions about JoSAA document rejection and re-upload

1
How will I know if my JoSAA document has been rejected?
JoSAA notifies you in two ways: (1) An email to your registered email ID with the rejection reason, and (2) A status update visible on the josaa.nic.in portal under 'Document Verification Status'. Always check both — emails sometimes land in spam. Log in and check your dashboard actively every 24 hours during document processing periods.
2
What are the most common reasons for JoSAA document rejection?
The most frequently rejected documents and reasons include: category certificates with expired validity or wrong financial year (OBC-NCL must be from current financial year); name mismatch between the document and JEE application; images that are too small, blurry, or in wrong file format; address proof issued from a different state than claimed; and PwD certificates not from a government medical authority. Category certificates account for over 60% of all rejections.
3
How do I re-upload a rejected document on JoSAA?
Log in to josaa.nic.in → My Dashboard → Document Upload Section. The rejected document will show a 'Rejected' or 'Re-upload' status tag. Click on it, read the rejection reason carefully, prepare the corrected document (correct format, size, resolution), and upload the new version. The portal typically gives a re-upload window of 24–48 hours after rejection notification.
4
What happens if I cannot fix a rejected document before the deadline?
If the rejection is not resolved before the document-submission deadline, your seat allotment may be cancelled. JoSAA's system is automated and strict — unverified documents result in seat cancellation. This is why you must upload documents well before the deadline, giving yourself time to correct any issues. There is no grace period for individual cases.
5
My OBC-NCL certificate was rejected. What should I do quickly?
OBC-NCL certificates are rejected most often because the financial year is wrong (must be from the financial year relevant to the counselling year, i.e., April 2025–March 2026 for 2026 counselling). Get a fresh certificate from the competent authority (SDM/Tehsildar). If you cannot obtain it in time, you may need to submit under the General/Unreserved category — contact JoSAA helpline for guidance on your specific situation.
